BS7858 is the British Standard for screening individuals employed in an environment where security and trust are required. For manned guarding companies, it sets out the minimum vetting requirements before a guard can be deployed to a client site.
What BS7858 Covers
The standard requires a thorough background check covering identity verification, right to work in the UK, a minimum five-year employment history with no unexplained gaps, criminal record checks (DBS), and satisfactory references from previous employers.
The screening must be completed and documented before the individual starts work. There is no grace period — partial screening is not compliant. Each element must be verified and recorded with supporting evidence.
The Screening Process
A compliant BS7858 screening process typically takes two to four weeks, depending on the candidate’s history. Start by verifying identity documents against government-issued originals. Then trace back through five years of employment, education, or other activity, contacting each employer or institution for a reference.
Any gaps longer than 31 days must be explained and verified where possible. Common acceptable gap explanations include travel, family caring responsibilities, or self-employment — but each needs supporting evidence.
Record Keeping Requirements
All screening records must be retained securely for the duration of employment plus a reasonable period after. Records should include copies of identity documents, completed reference forms, DBS certificates (noting the certificate number, not storing the certificate itself under DBS code of practice), and a signed screening summary confirming the individual has passed.
