Until now, this meant exporting PDFs, burning DVDs, or emailing files — all with limited control over who sees what and for how long.

TacDesk’s new third-party access feature creates secure, time-limited links that give external parties controlled access to specific data.

How It Works

Managers create a third-party access link by selecting:

  • What to share — specific incident reports, footage, occurrence book entries, or patrol records
  • Who it’s for — a description of the recipient (e.g., “PC Smith, Met Police, Crime Ref 12345”)
  • Expiry — the link automatically deactivates after a set period (24 hours, 7 days, 30 days, or custom)
  • Access level — view only, or view and download

The recipient receives a link that opens a secure page showing only the shared data. No TacDesk account is needed. No app to install. They click the link, view or download the data, and the link expires on schedule.

Audit Trail

Every third-party access link is logged with full details — who created it, what was shared, who it was shared with, when it was accessed, and when it expired. This audit trail is essential for GDPR compliance, demonstrating that you have a lawful basis for each disclosure and that you’re sharing the minimum necessary data.
