Two Ways to View Your Rota
Different scheduling questions need different views. When you’re checking whether a site has adequate coverage, you want to see all shifts at that site. When you’re reviewing a guard’s workload, you want to see all their shifts across all sites. TacDesk’s rota calendar now supports both.
By Site View
The site view answers the question: “Is this site properly covered?”
- Select a site and see all shifts for the week or month
- Gaps in coverage are immediately visible
- See which guard is assigned to each shift
- Colour coding shows shift types (day, night, mobile, static)
- Quickly identify if any shifts are unassigned
This is the view you’ll use when a client asks about their coverage, when planning for holidays, or when checking that overnight shifts are filled.
By Staff View
The staff view answers the question: “What’s this guard’s schedule look like?”
- Select a guard and see all their shifts across every site
- Check total hours to prevent overwork and ensure Working Time Regulations compliance
- Verify adequate rest periods between shifts
- Identify guards who are under-utilised or over-worked
- See travel between sites to spot impractical scheduling
This view is essential for welfare compliance, workload balancing, and identifying guards who might be at risk of burnout.
Drag-and-Drop Scheduling
Both views support drag-and-drop shift assignment. Create a new shift by clicking a time slot, or move an existing shift by dragging it. Assign guards by selecting from a dropdown that shows their availability and any conflicts.
Conflict Detection
When you assign a guard to a shift, TacDesk checks for conflicts — overlapping shifts, insufficient rest between shifts, and shifts that exceed Working Time Regulations limits. Conflicts are flagged with a warning before you confirm, preventing scheduling errors before they happen.
