KPIs That Actually Matter for Security Guard Operations
The key performance indicators every security company should track, and how to use them to improve operations and win contracts.

What gets measured gets managed. Yet many security companies operate on gut feeling rather than data. Implementing the right KPIs transforms your operation from reactive to proactive and gives you powerful evidence when renewing contracts or pitching to new clients.
Operational KPIs
Start with the metrics that directly measure service delivery. Shift fill rate measures what percentage of scheduled shifts were filled on time — target 98% or above. Punctuality rate tracks what percentage of guards clocked in within the acceptable window. Patrol completion rate shows whether scheduled patrols were completed with all checkpoints visited.
Incident response time measures how quickly guards respond to alarms, calls for assistance, or suspicious activity. This varies by site type but should be benchmarked and tracked. Report submission timeliness tracks whether incident and daily reports are submitted within the required timeframe — same shift for incidents, within 24 hours for daily reports.
Quality KPIs
Quality metrics are harder to measure but equally important. Client satisfaction scores from regular surveys provide direct feedback. Complaint rate per thousand guard hours normalises complaints against workload. Report quality scores assess whether reports contain sufficient detail, are well-written, and follow the required format.
Track training compliance: what percentage of guards have completed required training modules and hold valid certifications? And monitor uniform and appearance compliance through supervisory inspection records.
Financial KPIs
Revenue per guard hour, overtime as a percentage of total hours, and cost per hire are essential financial metrics. Track them by client and by site to identify which contracts are profitable and which are running at a loss.
Using KPIs Effectively
Collect data digitally and review monthly. Share relevant KPIs with clients in monthly reports — it demonstrates transparency and professionalism. Use trends to identify issues before they become problems. And benchmark against your own historical performance to show continuous improvement. Guard management platforms that capture this data automatically save hours of manual collation and produce professional reports that impress clients.
