DVLA MOT and Tax Checks for Your Security Fleet

You find out a patrol car's MOT lapsed when a guard mentions it in passing, or when it fails a routine check. By then it's already been driven on the road without one.

What most firms do today

Someone writes the MOT and tax dates on a spreadsheet when the vehicle is bought, and updates them manually when they remember to renew. If nobody remembers, the dates just go stale.

How the DVLA check works

TacDesk's Advanced Fleet add-on connects to the DVLA's own Vehicle Enquiry Service, the same public API the DVLA runs for checking a vehicle's MOT and tax status by registration number. This isn't a manual data-entry field: it's a live lookup against DVLA's own record for the plate.

A background sync runs every week, checking each vehicle that hasn't been checked against DVLA in the last seven days, in batches, so a large fleet doesn't get hit with every vehicle looked up in one go. Each result updates the vehicle's MOT status and expiry date and its tax status and due date, and if the make, colour or year of manufacture weren't already recorded, those get filled in from DVLA's data too. You can also look up a single vehicle on demand rather than waiting for the weekly cycle.

A separate daily check watches the dates that sync brings back. Managers get a push notification when a vehicle's MOT or tax is due within 30 days, another when it's down to 7 days, and an urgent alert the moment either one expires. Each alert only fires once per vehicle per stage, so you're not renotified every day about the same expiry.

Behind the scenes, the weekly sync deliberately paces its calls to DVLA rather than firing every vehicle at once, so a fleet of any size is worked through steadily instead of hammering DVLA's service in one burst. Your own API key sits behind your settings screen, not shared across other companies' accounts.

Why it matters

Driving without a valid MOT is a legal requirement on the operator, not just a box to tick. Gov.uk sets a fine of up to £1,000 for driving a vehicle without a valid MOT (exceptions apply only for driving to or from a repair, or to a pre-booked test). An automatic DVLA check catches an MOT or tax date going stale before a guard is on the road in a vehicle that shouldn't be.

It's one less manual record to keep straight. MOT and tax dates come from DVLA directly, on a weekly cycle, rather than depending on someone re-entering them by hand every time a certificate is renewed.

Where it sits

Advanced Fleet (DVLA) is included on TacCommand. On TacStarter and TacPro it's a paid add-on on top of Fleet Management, and it isn't available on TacFree. The pricing page has the current add-on price.
