The End of Paper Logbooks
The occurrence book is the backbone of security site management — a chronological record of everything that happens during a shift. For decades, this has meant paper logbooks with handwritten entries. Today, TacDesk introduces a Digital Occurrence Book (DOB) that automatically compiles your site activity into a comprehensive, searchable timeline.
What Gets Logged
The DOB automatically captures events from actions guards are already taking in TacDesk:
- Clock events — guard clock-in and clock-out with GPS verification
- Incident reports — linked directly to the timeline when filed
- Checkpoint scans — NFC patrol scans showing patrol progress
- Check call responses — welfare check completions
- Manual notes — guards can add free-text observations to the timeline

When a guard is clocked in, they see today’s occurrence book timeline for their site — a rolling log of everything that’s happened during the current shift. This gives them context about what occurred before they arrived and what’s happened since.
Guards can add manual notes to the timeline for observations that don’t warrant a full incident report — “Delivery received at loading bay”, “Fire alarm test conducted”, “Visitor John Smith arrived for meeting”.
Management View
Managers get a powerful overview with filters for site and date range. Review any site’s complete activity log for any period. Compare activity levels between shifts or across sites. Identify patterns or gaps in coverage.
PDF Export
Generate a professional PDF of any site’s occurrence book for any date range. This is invaluable for:
