The ACS assessment is coming up and the evidence lives in six different places: vetting certificates in a filing cabinet, training records in someone's inbox, policies on a shared drive nobody's opened since the last assessment. You've got a fortnight to pull it all into one folder.
What most firms do today
A lever-arch file per operative, or a folder structure on a shared drive that made sense to whoever set it up. Training certificates get scanned in when someone has time. When the assessor asks for evidence against a particular criterion, someone spends a day cross-referencing spreadsheets against paperwork to prove it.
How the Compliance module works
BS 7858 vetting, tracked per operative. For each guard, TacDesk tracks the vetting steps ACS assessors ask about: identity verification, right to work, one and five year employment history, DBS basic and enhanced checks, and two references. You record each step as it's completed and TacDesk shows who's fully vetted and who isn't, so a gap is visible before an assessor finds it, not during the assessment.
Training tracked against a mandatory/recommended/CPD matrix. You set up the training requirements your operatives need, mark the ones that are mandatory, and TacDesk tracks completion per guard against the matrix. Guards missing mandatory training show up on the dashboard.
A compliance score across all 7 ACS criteria. People, Service Delivery, Commercial, Policies & Governance, Strategy & Leadership, Resource Management and Financial Management each get their own score, rolled up into an overall percentage on a readiness dashboard. The score recalculates within a minute of a change you make, plus a nightly recalculation so it never drifts.
Evidence checklists and a PDF audit report. You upload the supporting documents against each criterion (policies, certificates, records) as you go, and when the assessment date arrives you generate a single PDF audit report covering your current score, KPIs, open items and evidence summary, rather than assembling one by hand.
Its own weekly SIA licence digest. Alongside the daily register checks in SIA licence tracking, the Compliance module emails your admin address once a week with licences expiring within 30 and 60 days, as a second, standing view of the same risk.
A public badge, off by default. Once your score and mandatory gates clear the threshold, TacDesk can issue a "TacDesk Verified" or "TacDesk Verified Plus" badge with a public verification page. Public display is switched off until you turn it on, and the badge is automatically withdrawn if your score or gates slip below the threshold.
Why it matters
The module gives you the record an ACS assessor wants to see: vetting steps completed, training current, evidence filed against the right criterion. It doesn't make the assessment decision for you and it doesn't make your company compliant or ACS approved, that's the assessor's call. What it does is mean the evidence is already gathered and dated when they ask for it, instead of a scramble the week before.
