A new starter hands you a photo of their SIA badge and you take their word for it. Three months later a client asks for proof every guard on site is currently licensed, and you're digging through old paperwork trying to remember who renewed and who didn't.
What most firms do today
A spreadsheet with expiry dates typed in by hand, or a diary reminder set when someone remembers to set one. Checking the SIA public register means opening a browser, typing in a licence number, and doing it again for the next guard. Nobody does that for 40 guards every week, so it gets done when there's time, which in practice means rarely.
How TacDesk does it
When a manager adds a licence number to a guard's profile, TacDesk looks it up on the SIA public register straight away and pulls back the licence holder's name and expiry date, filling in the guard's first name and surname if they're blank. You see the register status and holder name on the profile without leaving TacDesk.
After that, TacDesk keeps checking. Every day it works through a batch of your guards' licences against the public register, so across your whole team each licence gets re-checked every few days rather than sitting untouched until someone remembers. If the register comes back showing a licence has expired or been revoked, or the name on the register doesn't match the name on the guard's profile, TacDesk sends the manager an email and a push notification straight away.
Expiry reminders run separately and start early. From 90 days out, both the guard and their managers get a push notification, repeating every 30 days. Inside the last 30 days it steps up, repeating every week, so a lapsing licence is hard to miss by the time it matters.
Why it matters
You stop finding out at the worst moment. A licence that's about to expire gets flagged to the guard and their manager weeks in advance, not discovered when a client asks to see it.
You can answer a client straight away. Instead of a spreadsheet you hope is current, each guard's profile shows what the register said at the last check.
