Internal Messaging for Security Guards

Direct messages, group chats and broadcasts between guards and management, inside the app they already clock in on. Read receipts, file attachments, push notifications.

A guard has a question about a post order at 11pm. It goes into a WhatsApp group with fourteen other people in it, or a text to a manager's personal phone, and by morning nobody can find it again.

What most firms do today

A WhatsApp group per site, or one big group for the whole company, plus whatever texts and calls happen on personal numbers. It works, until you need to find what was actually said three weeks ago, prove a guard was told something, or bring on a new manager without handing them someone's personal phone number. WhatsApp groups are also every guard's number sitting in every other guard's contacts, which most firms would rather avoid.

How TacDesk does it

Messaging lives in the same app guards already use to clock in and file reports, under a Messages tab. Three kinds of conversation: direct messages between a guard and a manager, group chats for a site or a team, and broadcasts, which only management can send, going out to every guard and supervisor in the company in one message.

Messages arrive as a push notification, so a manager doesn't need the app open to know a guard has messaged them, and a guard gets a manager's reply the same way. Inside the app, a small badge on the Messages tab shows how many messages are unread, and each message shows whether it's been read, so a manager sending a broadcast can see who's actually seen it rather than guessing. Conversations keep their full history, so a question and its answer from a month ago is still there to check.

Guards and managers can attach a file to a message, images, PDFs, or a Word or Excel document, up to 10 MB, useful for a photo of a defect or a scanned form. Conversations are stored on TacDesk's side, not on a personal phone, so when a guard leaves the company the conversation history stays with the business rather than walking out with them.

Why it matters

It's a written record of what was actually asked and said, sitting next to the shift, the report and the incident it relates to, rather than scattered across personal phones. Read receipts mean a manager sending a broadcast about a site change or an alert can see who's seen it, not just that it sent. And it means nobody's personal mobile number has to be the way a guard gets hold of their manager, or the way fourteen guards end up with each other's numbers in a group chat.

It isn't a replacement for a phone call. Anything urgent or safety-critical still needs a call: messages aren't monitored in real time, and a message sitting unread for ten minutes because someone was on patrol is normal, not a fault.

Where it sits

Broadcasts are restricted to managers and admins, so guards can't message the whole company, only their own conversations.
